Records

A record is a dated event tied to animals, groups, or both. Ranch.Bot keeps five broad record types:

  • Health - observations, births, vaccinations, and treatments you report;
  • Movement - pasture changes, purchases, sales, deaths, and transfers;
  • Genetic - breeding, parentage, and association information you enter;
  • Feed - feed events and ration changes; and
  • Other - farm notes that do not fit the other types.

Ranch.Bot is a recordkeeping tool. It does not diagnose animals or recommend veterinary, financial, breeding, or culling actions.

Condition observations, profile edits, and body condition scores

  • A condition or health observation (for example, lame, coughing, off feed, or a routine stock check) is a dated record attached to the animal. It is not an edit to the animal's profile or notes. A routine stock check is saved under Other with that name; it is not a separate record type.
  • A Body Condition Score (BCS) is a repeatable, scored measurement. Ranch.Bot does not capture a structured BCS in chat yet; keep the score and method in a dated record description linked to the animal, added from Records in the dashboard. If a note is ambiguous between a general condition observation and a BCS score, Ranch.Bot asks which you mean, and it never infers a score from condition prose.
  • Recording an observation does not change the animal's profile. To change a profile field (name, breed, notes, and so on), ask for that change explicitly.

Create a record by text

  1. Complete Text-in setup.
  2. Text what happened from the registered phone.
  3. Ranch.Bot prepares a structured proposal.
  4. Open the web dashboard and check the animal or group, date, type, and details.
  5. Confirm, correct, or reject the proposal.

Before saving, check the proposed record name, type, date, complete description, and attached animal or group labels. If an attachment cannot be checked, saving is disabled; Cancel remains available so you can send a corrected note. If saving fails, check the refreshed details before retrying.

Nothing in that flow saves merely because the note was sent.

Create a record in the web app

You can also:

  • send a note from Quick Entry or a Conversation and review the proposal; or
  • open Records → New Record and enter the structured record directly.

Use the event date for when the work happened, not merely when it was entered.

Review records

The Records page filters by Health, Feed, Movement, Genetic, Other, or All. Open a record to see its name, description, event date, structured items, timestamps, and recent changes.

Animal and group detail pages also show their linked records.

Correct a record

Describe the correction in a Conversation and confirm the proposed update. Where a recent Change History action offers Undo, you can reverse that action and enter the corrected record.

Undo is available to Owners and Editors. Review the farm, change, and time before confirming. The dialog stays open to show the outcome. This change was undone confirms completion; View updated history opens that change. If history cannot refresh, Retry history reads it again.

If the result is unconfirmed, use Check status or Contact support. Do not submit another Undo while the outcome is uncertain. Closing the dialog or reloading the same tab keeps its recovery reference; Review Undo status opens it again. Try again appears only when the request was refused before sending. If the request was rejected, follow its reason and correction guidance.

A birth is corrected on its record detail with Correct birth, or invalidated with Mark entered in error. Both are reviewed previews, not a generic record edit or a whole-birth Undo. A generic birth undo stays unavailable. After reviewing a birth correction, any further edit discards that review and requires reviewing again before it can be saved. Changes saved through connected tools may not offer Undo in Change History. Animals and records saved together for a birth cannot be undone or amended separately. Check the original source before correcting.

Check corrections against the original source. Ranch.Bot should not fill in a date, dose, animal, or outcome that was not provided.

Group records

A group record applies to the animals selected when the record is made. Later membership changes do not alter the historical event.
